Assistant Vice President, Property Management

JOB DESCRIPTION

The AVP-PM will be expected to independently manage multiple mixed-use properties in the company’s portfolio, focusing on tenant satisfaction, retention and delivering superior operating results while maximizing asset value.
Responsibilities:


• Manage and supervise all aspects of assigned properties by prioritizing day-to-day operations and property needs in accordance with the standards and procedures of the Company
• Provide customers (tenants, investors, partners, lenders, etc.) with the highest level of customer service available
• Build an excellent rapport with tenants through communication, investigating and resolving complaints in a timely and efficient manner and providing attentive service to ensure successful and ongoing positive relationships
• Perform all duties as required by specific leases, including the collection of rents, default notifications and the continued performance of Landlord services
• Develop and establish policies and procedures specific to Life Science Assets, balancing owner’s and tenant’s needs
• Work with the SVP, Property Operations, the President and Senior Leadership to gain a thorough understanding of the property-specific strategic plans
• Coordinate and manage the implementation of all initiatives and programs approved by the Company, including but not limited to tenant retention and education programs
• Support and oversee tenant buildouts and construction work to ensure timely and accurate completion of projects and balance the needs of the on-going projects with the needs of pre-existing tenants
• Responsible for the financial management of the property, working with the SVP, financial reporting team and property team to:
o Prepare and review monthly operating statement
o Prepare and administer annual property business/asset management plan and operating budget according to the requirements of ownership
o Issue operating cost escalation and tenant service request invoices
o Collect payment for escalation or for special work performed
• Support the Director of Field Operations to ascertain the needs of any maintenance, repair or renovation projects, including long range capital improvements, and coordinate external contractors and vendors
• Ensure that life safety systems are operating effectively
• Ensure compliance with building codes, regulations and governmental agency directives
• Oversee all preventative maintenance programs and develop a comprehensive annual inspection process for the properties and complete inspections on a regular basis as needed
• Participate in meetings with Asset Management, Leasing, Legal and Financial Reporting to ensure continued successful management of the properties
• Establish strong relationships with contractors, architects, engineers and venders providing services to the properties
• Develop vendor contract service specification scopes and competitively bid all service contracts under the direction of the SVP and assure that appropriate insurance requirements are in place for all vendor contracts
• Complete required reports, such as variance reports, property inspections, roof inspections, elevator, fire alarm and other emergency testing
• Manage and supervise all direct reports and contracted service vendors including but not limited to Facility Manager, security, public safety, janitorial, shuttle and valet services
• Coordinate with SVP and HR to address any personnel performance issues
• Represent the Company and ownership in the local and regional business and real estate community in order to promote the company’s reputation and capabilities to prospective tenants and clients

Qualifications:
• Bachelor’s degree (B.A./B.S.) in Business Administration or related discipline from an accredited college or university
• CPM, CFM, and/or RPA designation(s) desirable
• Current/valid state issued driver’s license
• 10+ years of progressively responsible property management experience managing multi-use properties with structured parking
• 4+ years of experience managing others
• Demonstrated property and facilities management experience with mixed-use, retail, office, medical office and R&D/Lab properties
• Ability to analyze, prioritize and delegate
• Familiarity with building systems, documentation and administration
• Experience in budget preparation/financial reporting
• Must be able to operate in a Windows environment proficiently. High proficiency in MS Excel and MS Word to meet reporting, correspondence and budgeting needs as defined above
• Strong financial reporting experience and proficient knowledge of financial software (Yardi and/or MRI)
• Thorough understanding of commercial leases
• Knowledge of relevant local, state and federal regulations
