JOB DESCRIPTION

Our client is a responsive, client-focused property and asset management firm providing commercial and residential property management, facilities support, troubled asset management and accounting and financial services to property owners and nonprofit organizations.

POSITION SUMMARY

The Property Manager will be responsible for the overall responsiveness of personnel and subcontractors in the development and implementation of the policies, procedures and programs that will assure satisfied tenants and well maintained buildings. The individual will place maximum emphasis on positive response to the concerns and needs of the tenants, tenant retention efforts, environmental health and safety, and quality programs in coordination and conjunction with the Springfield Redevelopment Authority’s goals and objectives. 

TENANT MANAGEMENT

  • Understand and administer the provisions of each tenant’s lease.
  • Liaison with each tenant as the Stations’ primary point of contact regarding all issues including parking, signage, work orders, capital improvements, security, etc.
  • Provide assistance to accounting department as needed for CAM reconciliation, billing of work, invoice approval, budget preparation, etc.
    • Provide support for Leasing activities, including showing available spaces, developing leasing proposals, and working with marketing firms to promote vacant spaces and the property.
    • Develop lease analytics for proposals and coordinate tenant work pricing and coordination with Regional Property Manager and owner approved guidelines. 

PROPERTY MANAGEMENT:

  • Coordinate with Chief Engineer to keep a list of complaints and grievances for trending purposes using company approved software.  Responsible, with the Chief Engineer, for a positive and prompt response to requests from tenants, consistently assist tenant needs and communication to assure problems are being solved promptly.
  • Maintain daily log of construction, security and inspection activities, including any safety matters.
  • Maintain consistent, positive relationship with all SRA and City of Springfield representatives.
  • Maintain operating expenses within budgeted allowances and work closely with controller and SRA financial director to manage tenant receivables, CAM expense recovery, and legal department to issue late notices, and to track tenant financial reporting requirements including gross sales reporting, if required.
    • Attend weekly and monthly meetings with Owner.  Coordinate and manage all meeting agendas and facilitate an accurate, up to date, smooth flow of information to Owner.
    • Inspect the property daily with chief engineer. 
    • Respond to emergency situations as needed and work closely with security officers and provide prompt feedback to Regional Property Manager and Owner. 

CONTRACT SERVICES ADMINISTRATION-TENANT AND CAPITAL IMPROVEMENTS

  • In conjunction with the Chief Engineer, Station (Property) Manager is responsible for the selection of contract services, vendor negotiation of service agreements and day-to-day monitoring of vendor performance to assure full compliance with standards established within the service agreement.
  • Conduct periodic reviews of vendor performance and provide direct feedback to vendor and owner.
  • Estimate, budget and schedule minor and major projects.
  • Maintain a log of contract expirations and provide adequate notice of re-bidding to ensure continuity of service.
  • Maintain an electronic record of all work order and other service calls, and completion dates/times working closely with Chief Engineer and publish monthly reports.

FACILITIES

  • Along with the Chief Engineer, prepare, coordinate and ensure that all fire, life safety, and other safety programs are established and followed.
  • Provide oversight of the Chief Engineer regarding maintenance of the facility.
  • Knowledge of public bidding laws and contract requirements necessary
  • Publish monthly facilities data as needed by owner.  Coordinate with transportation partners including all bus companies, and Amtrak.

QUALIFICATIONS

  • 10 years’ experience as a facility manager in a comparable building(s)
  • BOMA, IFMA certification or willing to obtain same
  • Four-year degree in real estate, building design, construction management, business or a similar field, or work experience that would provide a similar knowledge base.
  • Excellent knowledge of computer applications including Word, Outlook and Excel
  • Demonstrated superior verbal/written communication skills
  • Proven record of excellent internal and external customer service
