Position Summary:
The primary purpose of this position is to oversee all administrative functions required for the day-to-day operations of a corporate office. Our client is an integrated real estate group that specializes in the development, financing, and investment management of quality Real Estate internationally.
Job Duties and Responsibilities:
- Handle all general administrative duties for Managing Director and corporate office including:
- Schedule appointments, on-site meetings and conference calls.
- Filing, including managing and arranging for offsite storage.
- Perform some receptionist duties including answering phones, greeting visitors, and working with security to organize all in-coming visitors.
- Organize and maintain the overall appearance of the corporate office and conference rooms.
- Maintain contact and other databases for Managers such as the comparable sales reports by market; develop and maintain a Broker database.
- Act as HR liaison and utilize internal Human Resources computer programs.
- Aid in the production of departmental reports (business plans, financial statements, etc.)
- Assist with Portfolio/Asset Management organizational responsibilities.
- Arrange all business travel for employees.
- Process all corporate payables and track payments, and maintain employee expense accounts.
- Coordinate and schedule off-site meetings and/or conferences as needed.
Experience, Skill and Educational Requirements:
- BA degree.
- 5 years of Administrative/Office Management experience; preferable in a Commercial Real Estate environment.
- Strong knowledge of MS Office Suite, including Word, PowerPoint, Outlook, Excel and Internet Research programs.
- Strong phone presence.
- Ability to multi-tasks and manage projects independently.
- Must be an effective oral and written communicator with peers, managers, and clients.
- Reliable and able to maintain a high level of confidentiality when handling sensitive materials and communicating with clients & internal personnel.
