The Director of Property Management will lead the property management function for a vertically integrated real estate investment, development and management company based in Boston.
As a member of the firm’s management team, this Director will oversee day to day operations of $350 million in assets comprised of multi-family residential and mixed use properties with a focus on tenant satisfaction, retention, and delivering superior operating results while maximizing asset value.
Responsibilities:
- Oversee and develop existing management team in the operation of 60 properties across New England
- Provide customers (tenants, investors, partners, lenders, etc.) with the highest level of customer service
- Build an excellent rapport with tenants through communication, investigating and resolving issues in a timely and efficient manner and providing attentive service to ensure successful and ongoing positive relationships
- Support and/or oversee construction work within the portfolio to ensure timely and accurate completion of projects and balance the needs of the on-going projects while mitigating the impact on tenants
- Ascertain the needs of any maintenance, repair or renovation projects, including long range capital improvements, and coordinate external contractors and vendors
- Develop capital budgets, including five-year capital plan as needed
- Oversee all preventative maintenance programs and develop a comprehensive annual inspection process for the properties and complete inspections on a regular basis as needed
- Perform all duties as required by specific leases to ensure the continued performance of landlord services
- Work with the senior leadership to gain a thorough understanding of ownership’s objectives and property-specific strategic plans
- Work closely with Property Managers to evaluate and analyze property performance from an operational and financial perspective to create value
- Work with property management team to develop an outstanding customer service experience for tenants, prospects and others
- Complete a thorough review of monthly operating statements
- Maintain a general knowledge of any transaction in markets under management
- Assist with the preparation of monthly/ quarterly financial reports and financial reviews
- Assist in the development, review and approval of Property Manager’s annual operating budgets
- Analyze and approve expenses compared to budgets throughout the portfolio
- Possess thorough knowledge of competitive properties and market knowledge of every asset in portfolio
- Work with Accounting/Finance to:
- Review expense allocations to ensure accurate and timely financial reporting
- Review monthly operating statement and assist staff to provide explanations for variances
- Prepare and administer annual property business plan and work closely with staff in preparation of their area of responsibility for budgets
- Issue tenant service request invoices
- Assist in the preparation of operating cost escalations
- Assist in the collection of rents as necessary
- Work with ownership and outside counsel to facilitate evictions/court proceedings as necessary
- Ensure that life safety systems are operating effectively and necessary contracts are in place
- Ensure compliance with building codes, regulations and governmental agency directives
- Participate in meetings with other business disciplines to ensure continued successful management of the properties
- Establish strong relationships with contractors, architects, engineers and vendors providing services to the properties
- Develop vendor contract service specification scopes and competitively bid all service contracts under the direction of ownership and assure that appropriate insurance requirements are in place for all vendor contracts
- Responsible for maintaining Insurance Certificate Compliance for tenants and contractors
- Set up and maintain lease files including organizing and archiving
- Lead management and ownership in property crisis situations to minimize risk
- Manage and supervise all direct reports and contracted service vendors
- Coordinate and lead meetings with the Property Management and Maintenance teams
- Conduct performance reviews and property inspections with the Property Managers
- Monitor development and training progress of all employees within the portfolio
- Assist Property Managers in resolving employee issues or disciplinary actions
Qualifications:
- BA/BS degree with a minimum of five years of property management experience required.
- Must be able to conduct a thorough analysis of a property, including assessing the value of an asset
- Strong, positive, motivational leadership skills
- Must understand the financial aspects of running a portfolio; experience with a revenue management program is highly preferred
- Must possess a strong Excel background and general computer skills.
