Property / Senior Property Manager

Norwell, MA

JOB DESCRIPTION

Our client is a full-service real estate company that currently owns, leases, and manages 1.5 million square feet of commercial real estate. The firm is looking for a highly experienced and motivated Commercial Property Manager to oversee the portfolio, inclusive of retail, office, and industrial assets. This individual will be responsible for the day-to-day operations, tenant relations, financial performance, and overall success of the assigned properties. 

Responsibilities

Management

  • Oversee all aspects of property management for a large portfolio, ensuring smooth daily operations.
  • Conduct regular property inspections to proactively identify and address potential issues.
  • Develop and implement preventive maintenance programs to minimize downtime and repair costs.
  • Manage and supervise on-site personnel, including building engineers, security staff, and maintenance technicians.
  • Ensure compliance with all applicable building codes, regulations, and lease agreements.
  • Scope and run the bidding process for capital projects. Select vendors and negotiate contract. Manage selected vendors to ensure timely, quality completion of projects. 

Financial Performance

  • Prepare and manage annual operating and capital budgets.
  • Bid and negotiate individual maintenance agreements (i.e. parking lot cleaning, landscaping, etc.)
  • Review and approve expense on ongoing invoices
  • Review work orders and ensure billable work orders are processed in a timely manner
  • Track and monitor key performance indicators (KPIs), including occupancy rates, rental income, and operating expenses.
  • Implement cost-saving initiatives to maximize profitability.
  • Generate monthly and annual reports for ownership and stakeholders. Provide variance explanations.
  • Work with accounting to manage annual CAM and real estate tax reconciliations. 

Tenant Relations & Leasing

  • Develop and maintain positive relationships with tenants.
  • Respond promptly to tenant inquiries and complaints.
  • Strong understanding of lease language and terms. Ensure tenant adherence to lease obligations. See to the timeliness of communications such as tenant advisories, cure letters, demand notices, and default notices.
  • Keep track of critical dates and oversee lease renewals and negotiations. Understand tenant business plans and potential for expansion.
  • Work with in-house leasing team to facilitate the onboarding process for new tenants. 

Additional Responsibilities

  • Stay abreast of industry trends and best practices in commercial property management.
  • Coordinate (negotiate contracts?) with external vendors and service providers.
  • Manage risk mitigation strategies for the property portfolio.
  • Contribute to the development and implementation of long-term strategic plans for the properties. 

Qualifications

  • Bachelor's degree in Business Administration, Real Estate, or a related field (preferred).
  • Minimum of 5 years of experience in commercial property management, with a proven track record of success in managing large portfolios.
  • Strong understanding of commercial real estate lease agreements, legal and regulatory requirements, and financial management principles.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Proficient in property management software and Microsoft Office Suite.
  • Ability to work independently and manage multiple priorities simultaneously.
  • Strong analytical and critical thinking skills.
  • Experience in budgeting, forecasting, and financial reporting.
