Position Overview:
Our client is seeking a hands-on Senior Asset Operations Manager to take ownership of the operational performance of half of their operating portfolio. This role will oversee all aspects of asset performance, including capital improvements, budgeting, and property management. This position will work cross-functionally with internal teams such as the Senior Asset Manager in charge of leasing and finance, as well as third-party property managers, construction contractors, and other vendors, to ensure assets are positioned for long-term success in line with ownership objectives.
This is an owner-side operations role responsible for ensuring our client’s buildings are well maintained, tenant-ready, and continually improving. While this role requires overseeing and holding third-party property managers accountable to manage capital improvements and tenant projects, it still maintains the ultimate responsibility for execution. The position is also responsible for the physical due diligence for new acquisitions. As the Company continues to grow, this role will play a key role in shaping and strengthening portfolio operations across the platform.

Responsibilities:
Portfolio Operations & Property Manager Leadership

  • Lead and manage third-party property managers across assigned markets and hold them accountable for execution and service standards
  • Diagnose issues, evaluate repair vs. replacement decisions, and coordinate responses to major incidents such as storm damage, flooding, or insurance events
  • Maintain working knowledge of each property's physical condition, systems, and operational risks
  • Oversee preventive maintenance and repairs across major building systems including roofs, HVAC, electrical, plumbing, pavement, drainage, lighting, and exterior envelope
  • Conduct regular site inspections and maintain action lists to ensure issues are resolved properly and quickly

Capital Projects, Construction Execution & Field Problem Solving

  • Oversee and hold the local third-party property manager accountable to:
    • Complete tenant improvements and value-add capital improvements including interior build-outs, repairs, and light construction
    • Develop scopes of work, solicit bids, select vendors, and manage project budgets and schedules
    • Coordinate contractors and ensure proper documentation including permits, lien waivers, insurance certificates, and project closeout
    • Ensure capital projects are executed with discipline and support the property’s long-term operating performance

Tenant Relationships & Owner Representation

  • Serve as the owner’s representative at the property level and maintain strong, professional relationships with tenants
  • Oversee and hold the local third-party property manager accountable to:
    • Address tenant issues and maintenance requests promptly
    • Maintain regular presence at properties and engage directly with tenants as appropriate
    • Ensure tenants comply with lease obligations including rent payments, maintenance responsibilities, and property housekeeping standards
    • Support leasing coordination and tenant turnovers to minimize downtime and maintain property standards
    • Ensure properties are maintained in a manner that supports long-term tenant retention and professional operating standards
  • This role maintains ultimate accountability for results regardless of third-party involvement

Acquisition Due Diligence & Capital Planning

  • Lead the physical due diligence process on acquisitions
  • Solicit and review third-party inspections including property condition assessments, roofing, HVAC, drainage, and pavement
  • Identify risks, estimate repair costs, and summarize findings for investment decision-making
  • Develop property capital improvement plans and budgets aligned with the investment strategy and implement the same following acquisition

Operational Reporting & KPI Management

  • Provide clear, concise weekly updates to the COO and company leadership summarizing property operations, project status, and key issues requiring attention
  • Develop and maintain simple operational dashboards that track key portfolio KPIs such as maintenance status, capital projects, major repairs, risk items, and tenant-related issues
  • Ensure leadership has clear visibility into property condition, project progress, and operational risks across the portfolio
  • Identify emerging issues early and communicate recommended solutions in a timely and structured manner

Qualifications:

  • 7+ years of commercial real estate operations, asset management, or construction experience
  • Strong practical understanding of commercial building systems and maintenance
  • Experience managing capital projects, tenant improvements, and vendor relationships
  • Proven ability to lead third-party property managers and contractors
  • Demonstrated ability to diagnose building issues in the field and translate findings into practical repair scopes and budgets
  • Ability to travel to properties and conduct hands-on site inspections
  • Strong communication skills and ability to summarize technical findings clearly for leadership
  • Technology literate and able to use currently available tools to increase productivity
  • Significant CapEx responsibility; construction Project Manager with commercial real estate experience
  • High integrity and accountability

  • Ability to travel monthly is required

Salary:

  • Base Salary Range: $135,000 – 165,000
  • Eligible for Bonus

Compensation will be based on experience and include a bonus and benefits.
