Role Overview:
Our client is seeking a Vice President, Construction Management to join its Design & Construction team. Working closely with the Asset Management and Investments teams, this role is best suited for a seasoned, institutionally trained project manager with the range and independence to own projects from inception through delivery, from a tenant turnkey fit-out to a major discretionary capital project.
Reporting to the COO and CIO, this individual will maintain hands-on oversight of the firm, design consultants, schedules, and budgets across a portfolio of active office and residential projects, while ensuring consistent reporting and accountability across all assigned work.
Responsibilities:
Project Oversight, Pre-Construction & Reporting
- Lead pre-construction activities including scope development, value engineering, prequalification and selection, and contract negotiation; engage early to shape execution strategy before commitments are made.
- Own assigned projects end to end, from predevelopment and design coordination through construction, closeout, and transition to asset management or leasing.
- Manage day-to-day relationships, holding contractors accountable to scope, schedule, budget, and quality standards.
- Maintain complete project documentation including RFI, submittal, change order, and pay application logs; ensure records are audit-ready at all times.
- Coordinate with architects, engineers, and consultants on design development, document review, and milestone approvals; coordinate with legal on contract execution, insurance compliance, and claims documentation.
- Manage projects across asset types and scales, from TI and fit-out work to major repositioning’s and ground-up development.
Draw Management & Construction Finance
- Review and approve monthly pay applications against schedule of values, stored materials, and lien waiver compliance; conduct site walks to verify work-in-place prior to approval.
- Track project budgets in real time across hard costs, soft costs, and contingency; flag variances and potential overruns promptly.
- Review and approve subcontractor and consultant invoices against approved budgets and contract terms.
- Prepare project cost reports for the VP and finance team; support construction loan draw package preparation.
Schedule, Permitting & Risk Management
- Develop and actively manage project schedules; identify and escalate critical path risks, procurement delays, and milestone slippage.
- Coordinate agency permitting and regulatory approvals — including DOB, DOT, and related filings — in partnership with property managers and consultants
- Evaluate and subcontractor RFIs and change order requests, maintaining a clear owner's position.
- Track long-lead procurement, material buyout, and equipment delivery to mitigate schedule risk.
- Assess and document delay claims and cost impacts; provide supporting analysis ahead of negotiations.
- Coordinate TCO/CO, punch list, and closeout documentation for timely delivery and transition.
Tenant & Stakeholder Coordination
- Manage tenant coordination on fit-out and TI projects, maintaining clear communication on schedule milestones, scope boundaries, and landlord obligations.
- Interface with property management and leasing to align construction activity with building operations and tenant move-in requirements.
- Keep internal stakeholders — asset management, finance, and investments — informed on project status, risks, and open items.
Reporting & Process
- Prepare concise project status reports for COO and senior leadership, surfacing key risks and decisions requiring escalation.
- Maintain project tracking tools across construction management, property management, and financial reporting platforms; bring a working understanding of how technology can improve project oversight and information flow, with a demonstrated interest in evaluating and implementing tools that drive efficiency and better decision-making.
- Drive process and systems improvement initiatives across the team.
Qualifications
- 10 or more years of progressive construction management experience; some owner-side or owner’s representative experience required
- Demonstrated ability to independently manage projects of varying scale and complexity simultaneously, from tenant fit-out to major discretionary capital projects
- Hands-on experience with the firm oversight, draw management, pay application review, and budget tracking
- Exposure to both office and residential asset classes
- Strong command of construction scheduling, cost reporting, and change order management
- Familiarity with Yardi preferred; advanced Excel required
Education
- Bachelor's degree in Construction Management, Civil Engineering, Architecture, Real Estate, or a related field preferred
